Creating and Managing Notes

Learn about the note creation wizard, different entry points, title editing, context settings, note type and template selection, tags, reminders, and import/export operations.

Creating Notes

In Mindora, you can create two categories of notes: clinical notes (linked to a client) and personal notes (private to you only). Note creation can be initiated from multiple points in the application, and different fields are automatically filled depending on the entry point.

Where Can You Create Notes?

We believe systematic note-taking is a cornerstone of effective therapy. That's why note creation in Mindora is embedded throughout the entire application — wherever you are, you can start taking context-aware notes directly:

Global "+" Button

The round "+" button at the bottom-right of the screen. Click it and select "New Clinical Note" or "New Personal Note" from the menu to start the wizard.

Session Detail Page

When creating a note from a session detail page, the client and session are automatically filled. You only need to select the note type and template in the wizard — the client selection step is skipped.

Client Detail Page

When creating a note from the client detail page, the client is automatically filled and the category is locked to "Clinical". The wizard starts directly with the note type selection step.

Goal Detail Panel

You can create a note from a client goal's detail panel. This flow includes selecting the relationship type (Related, Evidence, Obstacle, Exploration, Intervention) along with the goal info, then choosing note type and template. The created note is automatically linked to the goal.

Tip

Regardless of the entry point, the created note always opens in the same editor. The only difference is which fields are automatically filled.

Clinical Note Creation Wizard

The clinical note creation wizard consists of 3 steps. When initiated from the session or client detail page, relevant steps are automatically skipped.

Step 1: Select Client

Search and select from your active client list. This step is required — clinical notes must be linked to a client. When initiated from the client or session detail page, this step is skipped and the client is automatically assigned.

Click "Continue" to proceed to the next step.

Step 2: Select Note Type

System note types and your custom note types are displayed in a 2-column card layout. Each card shows the note type icon, name, associated template count, and a default type badge.

Quick Create

The "Quick Create" button at the top of this step opens a blank note using the default note type — type and template selection are skipped. Useful when you want to take notes quickly.

Click a note type card to make your selection and proceed to the template selection step.

Step 3: Select Template

Templates belonging to the selected note type are displayed in a side-by-side view. The left side shows the template list, and the right side shows a preview of the selected template.

Blank Page

A "Blank Page" option is always at the top of the list. It opens a blank note without applying any template.

Even if you don't use templates, we recommend categorizing your notes by type — the Blank Page option still preserves your selected note type.

Template Details

Each template shows a System/Custom badge, section count, language indicator (for EN templates), and a default template star.

Template Choices

  • "Create Without Template" opens a blank note.
  • "Create With Template" applies the selected template to the note content and opens the note.

Personal Note Creation

Personal notes are not linked to a client and are private to you only. To create a personal note, select "New Personal Note" from the "+" button menu.

The created note opens in the editor and can optionally be assigned to a folder.

Tip

Clinical notes are linked to a client; personal notes are private to the therapist. You can always convert between the two categories.

Editor Interface and Title Editing

When a note is opened, all note details are displayed as info labels in the top bar of the editor. You can click these labels to quickly access the relevant settings tab.

Top Bar Info Labels

The info labels in the top bar reflect the note's current state. Each is clickable and opens the relevant settings tab:

Client

Shows the client name. Clicking opens the client profile page.

Session

Shows the linked session's date and time. Clicking opens the session detail page.

Folder

Shows the folder name for personal notes. Removable (×) — clicking the × removes from folder. Clicking the label opens the Context tab, so you can quickly switch folders.

Type

Shows the note type name. Hovering displays the full name and description. Clicking opens the Type tab.

Template

Shows the applied template name. Clicking opens the Type tab.

Tags

Each tag appears as a separate label. Removable (×) — clicking the × removes the tag. Clicking the label opens the Metadata tab.

Reminder

Shows the set reminder date. Removable (×) — clicking the × removes the reminder. Clicking the label opens the Metadata tab.

Note Switcher Menu

The menu next to the note title on the left side of the top bar. Includes a search field, recently edited notes, and all notes — allowing you to quickly switch to another note.

Action Icons

The following action icons are on the right side of the top bar:

Save Status

Shows the last save status as "Saved", "Saving...", or "Save failed" text.

Save Version

Click the bookmark icon to create a version of the note's current content.

Version History

Click the clock icon to open the version history panel.

Settings Panel

Click the sliders icon to open the Note Settings panel. The panel contains Context, Type, Metadata, Actions, and History tabs.

Title Editing

The note title is displayed in the center of the top bar. Long titles are truncated after 30 characters on mobile and 55 on desktop, with the full title shown when you hover over it.

Click the pencil icon next to the title — it switches to edit mode and becomes a text input.

Type the new title. The existing text is pre-selected in the input field.

Press Enter or click outside the field — the title is saved instantly.

Press Escape — the change is cancelled and the previous title is restored.

Tip

Title changes are instantly reflected on screen — if the save fails, the old title is automatically restored.

Context Settings

From the "Context" tab (sitemap icon) in the Note Settings panel, you can manage the note's category, client, session, and folder.

Category Toggle (Clinical / Personal)

Use the toggle buttons to change the note's category. Important rules apply during conversion:

Clinical → Personal conversion

Client link, session link, and all client goal connections are removed. Goal connections cannot be recovered.

Personal → Clinical conversion

Folder link is removed and client selection becomes required. The note cannot be saved as clinical without selecting a client.

Clinical notes cannot have folders — they are organized under clients. Folders are only for personal notes.

Client Assignment and Changing

Search and select from the client list. Client is required for clinical notes and cannot be left empty.

Chain Effect

When the client is changed, the session link is automatically removed — because the current session belongs to the previous client. Goal connections linked to the client may also be affected.

Session Linking and Unlinking

Becomes active after a client is selected. The list only shows the selected client's sessions — sorted by date. For clients with multiple sessions, you can find the correct session using the date information.

Use the clear (×) button next to the field to remove the session link.

Folder Management (Personal Notes Only)

For personal notes, you can select a folder from the folder tree. Clicking the folder field displays the full folder hierarchy. Use the clear button next to the field to remove from the current folder.

The folder field is not visible for clinical notes — clinical notes are organized by client.

Tip

When the client is changed, the session link is automatically removed. When the category is changed, all related data (client, session, goals, or folder) is cleared.

Note Type and Template Selection

From the "Type" tab (puzzle icon) in the Note Settings panel, you can manage the note type and template. The type and template selected during creation in the wizard can be changed here.

Selecting Note Type

Search and select from system note types and your custom note types. Each type is listed with its icon. The "Strategic" field indicates whether the note type is available for clinical or personal contexts.

When the note type changes, the current template is automatically removed — you are expected to select from the new type's templates.

Template Selection

The template list shows all templates belonging to the selected note type. A "Templateless" option is always at the top. Templates are grouped into System and Custom.

Template Preview

Click the "View Templates" button to examine all templates in a side-by-side view. The left side shows the template list, the right side shows the full content preview of the selected template.

Applying a Template

When you click "Apply", a window opens asking how to apply the template. Two options are offered:

Replace

Completely deletes the note's current content and replaces it with the template content. The current content is automatically versioned before applying.

Append

Adds the template content to the end of the current content. Existing content is preserved.

Tip

The current content is automatically versioned before template application — you can always revert from the version history.

Tags and Reminder

From the "Metadata" tab (tag icon) in the Note Settings panel, you can add tags and set reminders for notes.

Tags

Assign tags from the selection list. You can search by typing the tag name to filter. Tags are listed in Turkish alphabetical order.

Create New Tag

Type a tag name that doesn't exist in the search field and click "Create" to create a new tag. The new tag is instantly created and assigned to the note.

Remove Tag from Top Bar

Click the close (×) button on the tag labels in the top bar to remove a tag directly — no need to open the Metadata tab.

Reminder

Click the date field to select a reminder date. After a date is selected, the time field becomes active and you can set the reminder time.

Reminder Detail Window

The detail window opened via the expand button next to the date field offers more detailed reminder settings.

Clear Reminder

You can remove the reminder using the clear button next to the date field or the close (×) button on the reminder label in the top bar.

Import and Export

From the "Actions" tab (lightning icon) in the Note Settings panel, you can import note content from files, export in different formats, archive, or delete.

Import

You can load note content from .md (Markdown) or .txt (plain text) files. Maximum file size is 5 MB.

Merge Behavior

If the note has existing content, the imported content is added after a separator line. Existing content is not deleted.

If the note is empty, the imported content is placed directly.

Export

You can export note content in 3 different formats. In each format, the note's details (title, client, session, date, etc.) are added at the beginning of the file.

PDF

Downloaded as a formatted document. Tables, colors, and semantic blocks are preserved.

Markdown (.md)

Downloaded as a Markdown formatted text file.

Plain Text (.txt)

Downloaded as plain text with all formatting removed.

Archive and Delete

Archive and delete buttons are also available in the Actions tab:

Archive

Archives the note. An undo notification appears on screen — click "Undo" to cancel the archiving.

Delete

Moves the note to trash. Recoverable for 30 days. An undo notification appears on screen.

Export creates a copy of the note's current content. For detailed archiving and deletion operations, see the related guide.

Important Notes

Access the Note Settings panel from the sliders icon in the top bar. The panel contains 5 tabs: Context, Type, Metadata, Actions, and History.

Click the info labels in the top bar to jump directly to the relevant settings tab — client → Context, type/template → Type, tags/reminder → Metadata.

Removable labels (folder, tags, reminder) can be removed directly from the top bar — no need to open the panel every time.

All note detail changes (client, session, type, template, tags, reminder) are saved instantly.

The "Quick Create" button in the wizard opens a blank note with the default note type — use it when you want to take notes quickly.
