Frequently asked questions about calendar view and navigation, personal areas, Google Calendar sync, recurring appointments, and online booking.
Overview
The calendar brings your appointments, personal areas (blocked times), and Google Calendar events together in a single weekly view. Each event type is distinguished by a different color, so you see your day at a glance.
You reach the page from the Calendar link in the top menu. Click an empty time slot to create a new appointment or personal area, or click an existing event to reach quick actions.
You can simplify the view with the filters on the left:
- Event Type: Appointment, Personal Area, Google Event.
- Session Type: In-person or Online.
- Appointment Status: Confirmed, Awaiting Approval, No-show, Cancelled.
- Payment Status: Paid, Pending, Overdue, Free.
To find a specific client's sessions, use the Client Search field in the top bar.
Yes. The calendar lets you add more than one appointment or personal area to the same time slot; overlapping events are shown side by side.
When creating an appointment or personal area, busy times are marked in the time picker: an amber dot means Busy (part of the hour is taken), and a red dot means Fully busy (most of the hour is taken or there are multiple overlaps). When you pick a busy time, a notice appears listing the appointments or personal areas already at that time.
This notice is informational only; it does not block you, so you can still create the entry at that time if you want.
Calendar View and Navigation
Use the forward and back arrows in the top bar to move to the previous or next week, and Today to return to the current week. The top shows the month you are viewing along with your timezone, and a horizontal line marking the current time runs across all days of the week.
Yes. You hold an appointment or personal area with the mouse and drag it to another day or time to reschedule. If the event you drag is part of a recurring series, Mindora asks whether you want to move only that session or that session and all following sessions.
If Google Calendar is connected, the change is also reflected in your calendar.
When you click an empty slot, New Appointment and Add Personal Area options appear.
When you click an existing appointment, the info card offers these quick actions:
- Edit: opens the editing screen for the appointment or personal area.
- Delete: asks you to confirm, then deletes the event.
- Client: takes you to the client's profile page.
- Detail: opens the full detail page for the session.
- Series: if the appointment belongs to a recurring series, opens a window listing every session in the series with its date, time, and status, with the current session marked.
- Remind: opens a window for sending a session reminder. You choose the channel (WhatsApp or Email) and tone (Standard or Friendly) and can edit the message. Once you confirm, WhatsApp Web or Gmail opens with the ready message, after which you mark Yes, I sent it / No, I didn't.
- Meeting Link: appears only for online sessions. You paste your video call link (Zoom, Google Meet, etc.), choose the channel and tone, and send it through the same flow. Because the message also includes the session date and time, it can stand in for a separate reminder for online sessions.
For an online session with a Google Meet link, a full-width Join Google Meet button also appears at the bottom of the card.
Yes. From Settings → Appearance you personalize how your session calendar is colored:
- Session Calendar Color Mode: Service colors events by the assigned service, while Client gives each client a unique, consistent color.
- Session Calendar Color Style: choose one of Vivid, Soft, or Glass.
Personal Areas
A personal area lets you block times on the calendar when you are unavailable. You can mark times such as lunch breaks, supervision, training, or leave, and add reminder-style notes for yourself.
Personal areas are not visible to clients, and those hours are not shown as available on your online booking page. You can hide personal areas on the calendar from the filter on the left.
Click an empty slot on the calendar and choose Add Personal Area to open the form. You fill in:
- Title: the name of the personal area.
- Date and Start Time.
- Duration.
- Description: an optional note.
You can drag a personal area to move it, or click it and use Edit or Delete. If Google Calendar is connected, your personal areas are written to your calendar as well.
Google Calendar and Google Meet
You need an active Google Calendar connection to create Google Meet links. A Meet link can be automatically generated when creating an online session. You can also add a Meet link to an existing online session later.
You can enable this automatic generation from the Sync Settings window, opened by clicking Manage on the Google Calendar card under Settings → Integrations and then the Settings button, by turning on the Google Meet Link for Online Sessions option.
Since this option is part of the sync configuration, your sessions must be set to push to a Google calendar (the Mindora → Google sync must be active) for it to work.
Once created, a Meet link cannot be removed, but it can be shared with the client via WhatsApp or email from the session detail page.
Sync is bidirectional. Sessions you create, update, or delete in Mindora are reflected in Google Calendar instantly.
Events from Google Calendar are imported into the Mindora calendar as "Google Events" automatically every 15 minutes, and you can also sync manually anytime with the Sync button on the Calendar page. You can edit imported Google events directly inside Mindora, and the change reflects back to your Google Calendar instantly.
You can configure which Google calendars to import from and which calendar to export to in the Sync Settings window, opened via Manage → Settings on the Google Calendar card.
You can connect Google Calendar from two places: the Google Calendar card on Settings → Integrations, or the Connect Google button at the top of the calendar page.
Once connected, Calendar to Import sets which Google calendars events are pulled from, and Calendar to Export sets which Google calendar Mindora events are written to. You can start a manual sync anytime with the Sync button on the calendar page. To end the connection, use Disconnect in Settings → Integrations; this does not delete events already written to Google Calendar.
Events imported from Google Calendar are a separate Google Event type, shown on the calendar in orange with a "G" badge, distinct from your appointments and personal areas, and they show those hours as occupied. You can hide Google events on the calendar from the filter on the left.
Yes. You can edit an imported Google event's title, date, time, duration, and description directly from your Mindora calendar, and the change reflects back to your Google Calendar instantly.
You can also delete a Google event from Mindora, which removes it from your Google Calendar as well. If you want to hide an event without deleting it, use the Google Event filter on the left.
Most sync issues are resolved in a few steps:
- Is the integration active: check that the Google Calendar connection is active under Settings → Integrations.
- Give it a moment: Google events are imported every 15 minutes; you can also trigger it instantly with the Sync button on the Calendar page.
- Right calendar selected: verify your import and export calendar selections from the Manage → Settings window on the Google Calendar card.
- If authorization expired: disconnect and reconnect your Google account, granting all requested permissions.
If synchronization fails 5 times in a row, the integration may be automatically paused to prevent issues; in that case, simply reconnect. You can see the last sync time in the integration settings.
Mindora events appear with distinct colors in your Google Calendar:
- Sessions: Blueberry (purple-blue), so you can easily identify client appointments.
- Personal Areas: Sage (light green), which distinguishes blocked time from sessions.
These colors let you recognize Mindora events at a glance in your Google Calendar. (How Google events appear on the Mindora calendar is a separate topic; they show in orange with a "G" badge.)
During connection, Mindora only requests permission to view and edit your calendar events; your data is used only for synchronization. On the security side:
- Calendar data only: other Google data such as Gmail or Drive is not accessed.
- Secure storage: your access tokens are stored securely.
- Full control: you can revoke access anytime from Settings → Integrations or from your Google account settings.
- No sharing: your data is not shared with third parties.
Recurring Appointments
Yes. When deleting, three scope options are offered:
- Only this session
- This and all future sessions
- This and all subsequent sessions
Sessions with a sent payment link or received payment are automatically preserved and not deleted; the delete preview shows which sessions will be deleted and which will be preserved.
The Repeat dropdown in the appointment creation window offers Does not repeat, Weekly, Every two weeks, Monthly, and Custom. When you pick a pattern, you set how many sessions to create, review the preview, and create the series.
If one of the dates conflicts with an existing appointment or personal area, you see a Conflict Warning, and you continue with Cancel or Create Anyway. To see the series a session belongs to, use the Series button on the event card.
Online Booking
Online booking settings are gathered under Personal Website → Booking. After turning on Online Booking, you set:
- Contact Method: WhatsApp, Email, or Both.
- Approval Mode: Automatic or Manual.
- Buffer Between Sessions, Minimum Notice, and Maximum Advance Date.
- Booking Form Fields: Name, Email, and Phone are required, and the Client Note is optional.
You mark your services in the Available Services list so clients can choose them.
The client picks a service, date, and time on your booking page and enters their details to create the appointment. What happens next depends on your approval mode:
- Automatic approval: the appointment is confirmed instantly, the client sees the Your Appointment Is Confirmed! screen, and the session appears on your calendar.
- Manual approval: the appointment is created with Pending status and the client sees the Your Appointment Is Received! screen.
For manual approval, you respond to the request from Notifications or the Awaiting Approval tab on the Sessions page with Approve or Reject. Your response is emailed to the client.
