Online Booking Setup

Set up your online booking system: enable booking, configure your preferences, select your services, and save your settings.

What are Booking Settings?

The Booking tab in your Personal Website controls how clients create appointments with you. You can enable online booking, configure your preferences, and choose which services to offer. All settings are organized on a single page.

Enable/Disable Online Booking

Turn the online booking system on or select a contact method.

Set approval mode, buffer time, notice period, and other preferences.

Choose which services to display on your website and save your settings.

Online Booking Toggle

The Online Booking toggle at the top of the page controls the entire online booking system.

When Enabled

Clients can book appointments directly through your website. All preference and configuration fields become visible below.

When Disabled

Online booking is turned off and clients are shown a contact method instead. Only the Contact Method section appears below.

Contact Method

When online booking is disabled, choose which channel clients can use to reach you:

WhatsApp

Your WhatsApp number is displayed to clients.

Email

Your email address is displayed to clients.

Both

Both WhatsApp and email information are displayed.

Tip
Contact information (phone and email) is automatically pulled from your profile and is read-only. Use Profile Settings to update it.

Booking Preferences

When online booking is enabled, you can configure six preferences that determine how your booking system works. Each preference is set via a dropdown or toggle.

Approval Mode

Determines whether appointments are approved automatically or manually. In automatic mode, appointments are confirmed instantly; in manual mode, they are created as "Pending" and await your approval. Default: Automatic.

Accept New Clients

When enabled, people who are not registered in your system can also book appointments through your website. A new client record is automatically created on their first booking.

Buffer Between Sessions

The break time required between one session ending and the next one starting. You can select from 0 minutes to 2 hours via the dropdown. Default: No buffer.

Minimum Notice Period

How far in advance a client must book an appointment. You can select from 0 hours to 1 week via the dropdown. Default: 24 hours.

Maximum Advance Booking

How far into the future a client can book an appointment. You can select from 1 week to 3 months via the dropdown. Default: 1 month.

Payment Required

Coming Soon

Allows collecting payment during booking. This feature is currently under development and is displayed with a "Coming Soon" badge.

Tip
Preference changes only affect new appointments; existing appointments remain unchanged.

Form Fields & Services

Configure which information is collected on the booking form and which services are offered on your website.

Booking Form Fields

Clients fill in the following form fields when booking an appointment:

Name (required)

Always required, cannot be disabled.

Email (required)

Always required, cannot be disabled.

Phone (required)

Always required, cannot be disabled.

Client Note (optional)

An optional field where clients can leave notes about their appointment. Can be toggled on or off.

Available Services

Select which services are displayed on your website from the checkbox list. Selected services are offered to clients on the booking page. Use the Service Catalog to add or edit services.

Tip
The form fields section is only visible after your booking link has been created. If you don't have a link yet, create one from the Booking Link settings first.

Booking Approval Management

You can approve incoming bookings either automatically or manually:

Automatic Approval

The appointment is confirmed instantly and a confirmation email is automatically sent to the client. You also receive an in-app notification. No further action is needed on your part.

Manual Approval

The appointment is created with "Pending" status. You receive an in-app notification and the client receives a waiting email.

Where Can You Approve?

Notifications

Click the notification icon in the top right corner. You will see "Approve" and "Reject" buttons directly in the pending booking notification.

Sessions Page

View pending appointments from the "Pending Approval" tab on the Sessions page. Use the "Approve Booking" or "Reject Booking" options from the three-dot menu on each row.

Email Notifications After Approval/Rejection

When the therapist approves: A confirmation email is sent to the client.

When the therapist rejects: An informational email is sent to the client and the session is cancelled.

Tip
You can change the approval mode at any time from the booking preferences. Changes only affect new appointments.

Tips

New Client Behavior

When "Accept New Clients" is off, only existing and active clients in the system can book appointments. When on, a new client record is automatically created for first-time bookers.

Email Matching is Critical
The system matches existing clients by their email address. Your client must use the same email registered in their Mindora record when booking. If there is no match and "Accept New Clients" is off, the booking will be rejected.

Timezone

If your client is in a different timezone, times are automatically converted to the client's local time. This way both parties see the correct time in their own timezone.
