Recurring Appointments
Learn how to create, edit, and manage recurring appointment series for regular client sessions.
What are Recurring Appointments?
Recurring appointments allow you to schedule a series of sessions at regular intervals. Instead of creating each session individually, you define a pattern and the system creates all sessions at once.
When to Use?
Regular therapy sessions
Weekly or biweekly sessions with the same client
Fixed-schedule clients
Clients who prefer consistent days and times
Long-term follow-up
Session series that will continue for several months
Creating a Recurring Series
Follow these steps to create a recurring series:
Open session creation
Click on a time slot in the calendar or click "+ New Session" from the Sessions page.
Fill in basic info
Enter client, service, date and time information.
Expand the "Repeat" dropdown
Find the "Repeat" field in the session creation window and click it.
Select pattern
Choose from weekly, biweekly, monthly, or custom options.
Enter session count
In the pop-up window, specify how many sessions to create (maximum 52).
Review and save
Review the sessions to be created and click "Save".
Recurrence Pattern
The "Repeat" dropdown contains the following options:
Session Count
When a preset (weekly, biweekly, monthly) is selected, this window opens:
Total 8 sessions (maximum 52)
Custom Recurrence
Customize recurrence rules
Current: Total: 13, Remaining: 13
Maximum 52 sessions or 1 year
Every Wednesday (13 sessions)
Conflict Warning
If any of the dates to be created conflict with existing appointments or personal time blocks, you'll see a warning:

Series Sessions Window
Click the Series button to view all sessions in a recurring series. This window lists all sessions with their date, time, and status information.
How to open?
Click on a session from the Calendar or Sessions page
Click the "Series" button in the popup menu

Each status is shown with a different color:
Editing a Recurring Session
When you edit a session that's part of a recurring series, the system asks which sessions the change should apply to.

You can edit the following fields of recurring sessions:

Click on session
Click on a session that's part of a series from the calendar or Sessions page.
Make changes
Edit time, date, service or other fields.
Click "Save"
Click the button to save your changes.
Choose scope
In the pop-up window, select which sessions the change should apply to.

Adding Google Meet Link
When adding a Google Meet link to recurring sessions, you can choose which sessions to add it to:

Deleting Sessions from Series
When you want to delete a session from a recurring series, the system asks which sessions to delete.
Deletion steps:
Click on session
Click on a session that's part of a series from the calendar or Sessions page.
Click "Delete"
Find the "Delete" button in the session edit window or session detail page.
Choose delete scope
In the pop-up window, select which sessions to delete.

Payment Status and Deletion
Sessions with certain payment statuses cannot be deleted. Sessions that cannot be deleted are shown as "Will preserve" in the table.
Link Sent, Link Paid, Refunded, Partially Refunded
To delete, first cancel the payment link via "Manage Payment".
Unpaid, Free, Manually Paid

Google Calendar Sync
All sessions in a recurring series are automatically synced to Google Calendar. Edits and deletions are also synced.
