Page Layout

The calendar page brings all your appointments, personal areas, and Google Calendar events together in a single weekly view. When you open it, you see the current week. You can narrow down what you see using the filters on the left, and jump between weeks with the arrow buttons at the top. The page is organized into three main areas:

Top Toolbar

Contains the week navigation arrows, a client search field, the Google Calendar sync button, and the "Add Personal Area" and "New Appointment" buttons.

Sidebar

Includes a small monthly calendar and four filter groups: event type, session type, appointment status, and payment status.

Weekly View

The main work area that divides the 7 days of the week into hourly time slots. Your appointments, personal areas, and Google events appear here as cards.

Weekly View & Navigation

Previous / Next Week

Use the left and right arrow buttons in the top toolbar to move to the previous or next week.

Go to Today

Click the "Today" button to instantly jump back to the current week, no matter how far you have navigated.

Month & Year Display

The top toolbar shows which week you are viewing. If the week spans two months, both month names are displayed (e.g. "December – January 2026").

Timezone Display

Shows the timezone set in your profile along with its UTC offset. This is read-only and cannot be changed from the calendar — update it in your Settings page.

You can click on any empty hour in the weekly view to create a new appointment or personal area at that time.

Tip
Hours that are more than 14 days in the past cannot be clicked. They appear with a striped background, and hovering over them shows a note explaining why.

A red horizontal line marks the current time, runs across all days of the week, and moves down as the day progresses.

Three Event Types on the Calendar

Three types of events appear on the calendar, each in its own color:

Appointments

Sessions with your clients. Each appointment is color-coded based on the service you assigned. The card shows the client name, time range, and small labels indicating the status (confirmed, pending, no-show, cancelled).

Personal Areas

Use these to block off time when you are unavailable for appointments, or to add personal tasks and reminders to your calendar. For example, you can schedule a lunch break, a supervision hour, or a task like "write case notes." They appear in mint green and show the title and duration you set.

Google Calendar Events

Events imported from your connected Google Calendar account. They appear in orange and are marked with the Google logo so you can easily tell them apart.

Tip
You can simplify the calendar by unchecking event types you don't want to see in the sidebar filters.

Status Indicators

Cancelled appointments are shown with a red left border, a faded background, and strikethrough text.
No-show appointments are marked with an amber left border.
Online sessions display a camera icon on the card. If a Google Meet link is set, hovering over the icon reveals the link.
About Video Calls
Mindora does not currently include a built-in video call feature. However, if you have set up the Google Calendar integration, a Google Meet link is automatically generated for your sessions and can be shared with your client. A HIPAA-compliant video call solution will be integrated soon.

Creating Events from the Calendar

When you click on an empty hour in the calendar, a small menu appears offering two options:

1

Click on the empty hour where you want to add an appointment or personal area.

2

From the menu that appears, choose either "Create Appointment" or "Add Personal Area".

Creating an Appointment

First select your client, then the appointment form opens. The date and time are automatically filled in based on where you clicked. When you choose a service, the duration and fee are filled in automatically as well.

Recurring Appointments

If you regularly see the same client, you can define a recurring series instead of creating individual appointments each time. Recurring appointments are automatically generated at the intervals you set (weekly, biweekly, etc.) and are distinguished by a special series label on the calendar.

Creating a Personal Area

Enter a title (e.g. "Lunch Break"), date, start time, duration, and optionally a description to define your personal area.

To edit or delete a personal area later, simply click on it in the calendar and use the "Edit" or "Delete" option from the info card that appears.

Tip
Personal areas are not just for blocking unavailable hours — you can also use them as reminders for yourself. For example, add a "Prepare case formulation" or "Review supervision notes" task to a time slot to plan your day visually on the calendar.

Personal Area Management

You can quickly create personal areas from the calendar; for detailed operations like editing, deleting, and setting up recurring personal areas, check out the guide below.

Event Details & Quick Actions

When you click on any event in the calendar, an info card appears on top of it. From this card you can view the event details and take quick actions.

Date and Time

Shows the full date and start-to-end time of the appointment.

Fee and Duration

Displays the fee and session duration for appointments.

Status Labels

Small labels showing whether the session is online or in-person, its confirmation status, no-show, cancelled, or part of a recurring series.

Action Buttons

Edit

Opens the editing screen for the appointment or personal area.

Delete

Asks you to confirm before deleting the event.

Client

Takes you to the client's profile page.

Detail

Opens the full detail page for the session.

Remind

Sends a session reminder to the client via WhatsApp or email.

Meeting Link

Sends the online meeting link to the client.

Series

If the appointment belongs to a recurring series, opens a window listing every session in the series with its date, time, and status, with the current session marked.

Google Meet Button

If a Google Meet link is set for the session, a full-width "Join Google Meet" button appears at the bottom of the info card.

Editing and Managing Sessions

Using the buttons on the info card, you can edit appointments, reschedule them, cancel, or mark them as no-show. For step-by-step instructions on all these actions, check out the guide below.

Rescheduling with Drag & Drop

1

Click and hold the appointment or personal area you want to move, then drag it to a new day or time.

2

As soon as you drop it, the event moves to its new position and the calendar updates instantly.

3

When you move a recurring appointment, you will be asked: "Move only this session, or this and all following sessions?"

4

If the new time conflicts with another event, you will see a warning. You can choose to proceed anyway or cancel the move.

Tip
Drag-and-drop works for both appointments and personal areas.
Tip
If something goes wrong, the move is automatically undone and the event returns to its original position.

Important Tips

Date and Time Management

All times displayed on the calendar are based on the timezone set in your profile. Updating your timezone when you move to a different city or travel is important to ensure your appointments continue to appear at the correct time.

Google Calendar Integration

When you connect your Google Calendar account, your personal events automatically appear on the calendar and new appointments sync back to Google Calendar. Synchronization runs automatically every 15 minutes; you can also sync instantly using the button in the top toolbar.
