Creating a Session

Learn how to create single or recurring sessions for your clients step by step.

What is Session Creation?

Session creation is the foundation of scheduling appointments with your clients. In Mindora, you can quickly create a single session or recurring session series. The system automatically fills in duration and fee information based on the service you select.

Where to Create?

From Calendar

Click on an empty time slot to create a session directly at that date and time.

From Sessions Page

Click the "+ New Session" button to create a session.

From Client Detail

Click the "New Appointment" button at the top right to create a session for that specific client.

1. Session Type

First, choose whether the session will be online or in-person.

Online

Sessions via video call. Google Meet link can be added.

In-Person

Sessions at the office or a designated location.

Google Meet Integration

When you select an online session, the automatic Google Meet link creation option appears. For this feature:

  • Connect your Google account.
  • Configure calendar export.
  • Enable Meet link setting.
Tip
If integration is not configured, this option appears disabled with a message explaining why.

2. Service Selection

Service selection automatically determines the session's duration and fee. Only active services appear in the list.

3. Date and Time

When selecting date and time, busy time slots are visually marked. You can also create sessions for past dates (up to 14 days ago).

Time Picker

The time dropdown shows hours and minutes side by side. Busy time slots are marked with colored dots:

Busy

Another appointment exists at this time, but you can still create a session.

Fully booked

Multiple appointments exist at this time.

Tip
When you click on a busy time, an info box shows the existing appointments and personal blocks at that time.
Tip
If you select a past date, you'll see a warning message. This is useful for adding past sessions for record-keeping.

For sessions older than 14 days, you can use the Transfer Center.

4. Duration and Fee

When a service is selected, duration and fee are auto-filled, but you can change them.

Duration

Session duration in minutes. Defaults to the service's duration.

Fee

Session fee. Can use service fee or client default fee.

Client Default Fee

If the client has a default fee defined, it's automatically used. You can also use service fee or enter a custom amount.

Free Session

For complimentary or introductory sessions, click the gift icon next to the fee field to create a free session.

5. Recurring Sessions

You can create recurring session series for regular clients. Repeat options:

6. Confirmation Status

Set the session's confirmation status.

Confirmed

Client has confirmed they will attend.

Awaiting Confirmation

No confirmation from client yet. Appears in a different color on calendar.

Tip
When you create the session, it will be instantly synced to your Google Calendar if the integration is enabled.

Conflict Warning

When creating recurring sessions, some dates may conflict with existing appointments. The system detects conflicts and notifies you. You can proceed despite conflicts or change the dates.
