Managing Individual Payments

Learn how to use the payment detail window to manage status, links, receipts, and more.

Overview

The payment detail window is your central hub for managing individual session payments. Open it by clicking "Manage Payment" from any row in the payments table. From here you can change payment status, create and send payment links, manage receipts, and view payment history.

Opening the Window

To open the payment detail window:

Go to the Payments page.

Find the session you want to manage.

Click the three-dot menu ( ⋮ ) on that row.

Select "Manage Payment".

Window Layout

The window is organized into several sections from top to bottom:

Client & Session Info

Client name, service type, session date and channel

Amount & Status

Session fee (editable in some statuses) and current payment status badge

Quick Actions

Status change buttons, messaging actions, and info buttons

Payment Link

Create, send, and manage payment links (shown for unpaid sessions).

Receipt Management

Upload, send, and manage receipts (manual or e-SMM via Paraşüt).

Payment History

Chronological log of all payment-related events for this session

Fee Management

You can edit the session fee by clicking the pencil icon next to the amount. Fee editing is only available when:

  • Status is Unpaid
  • Status is Link Sent
  • Session is Free (fee = 0)

Fee is locked (shown with a lock icon) when:

  • Payment has been received (Paid via Link or Paid Manually)
  • Refund is in progress or completed
Tip
Changing the fee while a payment link is active will automatically invalidate the link. You'll be asked to confirm before proceeding.
Tip
If the link cannot be expired due to a temporary error, the fee change will not proceed — the original fee is preserved. You can retry the action.

Status Actions

Available actions depend on the current payment status:

Mark as Paid

Mark an unpaid or link-sent session as paid manually (for cash, bank transfer, etc.).

Revert to Unpaid

Undo a manual payment if marked by mistake.

Refund

Initiate a full or partial refund for payments made via link.

Tip
"Paid via Link" status is set automatically when the client completes payment and cannot be changed manually.

Messaging Actions

Send notifications to your client based on payment status:

Remind / Remind Again

Send a payment reminder for unpaid or link-sent sessions.

Send Confirmation / Resend

Send a payment confirmation message after payment is received.

Receipt Section

Manage session receipts in two ways:

Manual Receipt

Upload PDF or image receipts, then send them to your client via WhatsApp or Email.

Paraşüt e-SMM

Issue electronic receipts directly through Paraşüt integration (Turkey only).

Upload
Change
Delete

Payment History

At the bottom of the window, you'll see a complete history of all payment-related events for this session. Events include:

  • Status changes
  • Fee changes
  • Link created, sent, invalidated, or expired
  • Payment completed or failed
  • Reminders sent
  • Receipt actions (upload, send, delete)
  • Refund events
Tip
Click the info icon ( ⓘ ) next to "Payment History" for detailed explanations of each event type.

Info Buttons

Throughout the window you will find small info icons ( ⓘ ) next to the relevant sections. Clicking one opens a pop-up window that summarizes the related rules without leaving the screen. There are three info windows:

Payment Status Guide

Explains every payment status — Paid, Unpaid, Link Sent and Refunded — and which status can transition to which (valid transitions).

Session Fee Rules

Shows the session standard fee and explains in which statuses the fee can be edited and in which it is locked.

Payment History Guide

Explains what each event type in the payment history means: status changes, fee edits, link, payment, reminder, receipt and refund events.
