Deleting Sessions
Learn how to delete single and recurring sessions, payment status restrictions, and what happens to deleted sessions.
What is Session Deletion?
Session deletion is used when you want to completely remove a session. Deleted sessions are moved to trash and can be restored within 30 days. Unlike cancellation, deletion completely removes the session from lists.
When to Use?
Accidentally created session
If the session was entered incorrectly or duplicated
Client discontinued therapy
If all future sessions need to be deleted
Series modification
If you want to delete part of a recurring session series
How to Delete?
Click on the session
Open the session from Calendar or Sessions page.
Click the Delete button
Use the red delete button at the bottom of the edit session window.
Select deletion scope
For recurring sessions, select which sessions to delete.
Confirm
Complete the deletion by confirming.
Single Session Deletion
For sessions not part of a recurring series, direct deletion confirmation is requested. The session is deleted if the payment status allows.
Recurring Session Deletion
When deleting a session that belongs to a recurring series, three different scope options are presented:
Only this session
Deletes only the selected session, other sessions in the series are not affected.
This and all future dated sessions in the series
Deletes all sessions with future dates from today. Past dated sessions are preserved.
This and all subsequent sessions
Deletes the selected session and all chronologically subsequent sessions (even if past dated).
Recurring Appointments Guide
See this guide for detailed examples and deletion scenarios.
Deletion by Payment Status
Not every payment status allows deletion. The table below shows which statuses can be deleted:
| Payment Status | Can be deleted? | Note |
|---|---|---|
| Unpaid | - | |
| Free | - | |
| Paid Manually | Check if refund is needed before deleting. | |
| Link Sent | Invalidate the payment link first. | |
| Paid Online | - | |
| Refunded | - | |
| Partial Refund | - | |
| Refund Pending | - | |
| Active Payment Link | If a payment link has been created but payment has not been made yet, the session cannot be deleted. Cancel the payment link first. |

The session record is completely removed from the database and cannot be recovered.
Impact of Client Operations
Sessions belonging to a client can be affected by operations on the client:
When the client is archived, future scheduled sessions are automatically cancelled.
When the client is deleted (moved to trash), future scheduled sessions are automatically cancelled.
Past or already completed sessions are not affected by these operations.
When a client is permanently deleted, all sessions are deleted regardless of payment status.
