Payment Communications

Learn how to send payment links, reminders, confirmations, and receipts to your clients.

Overview

Payment communications help you collect payments and keep clients informed. All communications are sent from the Payments page.

Tip
Navigate to Payments from the sidebar to access all communication options.

Types of Payment Communications

You can send four types of payment-related messages:

Payment Link

Send when payment is due.

Includes online payment link.

Payment Reminder

Send for unpaid sessions.

Reminds client to pay.

Payment Confirmation

Send after payment received.

Confirms the payment.

Receipt

Send with receipt/invoice.

Includes receipt file.

Sending a Payment Reminder

For sessions that haven't been paid:

Filter unpaid sessions

Use the Unpaid tab to see overdue payments.

Send the reminder

Use Remind Again in Manage Payment, or the Remind option in the row Actions menu.

Customize and send

Choose channel, tone, edit message, and send.

Reminder Frequency
Be mindful of how often you send reminders. One reminder a few days after the session is usually appropriate before following up again.

Sending a Payment Confirmation

After receiving payment, you can send a confirmation:

Find the paid session

Open the paid session's Manage Payment window.

Click "Send Confirmation"

In Manage Payment, Send Confirmation is available for paid sessions.

Choose channel and send

Select your preferred delivery method.

Optional Step
Sending a confirmation is optional. Many therapists skip this step since the client receives a confirmation from the payment provider (Stripe, iyzico, etc.) automatically.

Sending a Receipt

To send a receipt to your client:

Ensure receipt is ready

In Manage Payment → Receipt Management, add or create the receipt first.

Click "Send Receipt"

In Receipt Management, Send Receipt appears once a receipt is available.

Send via WhatsApp or Email

Receipt link is included in the message.

Communication Window Options

When sending any payment communication, you'll see these options:

Delivery Channel

WhatsApp

Opens WhatsApp Web with pre-filled message.

Email

Opens Gmail with pre-filled message.

Message Tone

Standard

Professional, brief message

Friendly

Warm, personal tone

Message Preview

Preview and edit the message before sending. The message includes all relevant details like date, time, and amount.

Copy Message - Copy the message to clipboard for use elsewhere.

Confirming Message Delivery

After clicking send, a confirmation dialog appears:

Message app opens

WhatsApp or your email app opens with the pre-filled message.

Send the message

Send the message in WhatsApp or Email as usual.

Confirm delivery

Return to Mindora and confirm if you sent the message.

"Yes, I Sent"

Records the communication in payment history.

"No, I Didn't Send"

Closes without recording (you can send later).

Why Confirm?
Confirmation helps you track which clients received messages. The payment history shows all confirmed communications, making follow-ups easier.

Where to Read the History

Every message you confirm is logged and can be read in four places:

  • Session detail page → Messages tab: all communication for that session
  • Session detail page → payment history: only payment-related events, which also appear in the Messages tab
  • Payments page → Manage Payment window → Payment History: identical to the session detail history
  • Payments page → History: the payment transaction history of all clients in one list

Bulk Communications

You can send payment links to multiple clients at once:

  • Use the Bulk Payment Link wizard from the Payments page.
  • Select multiple sessions for the same client.
  • A single link is generated for all selected sessions.
  • The message shows a summary of all sessions and total amount.

Language Selection

You can change the message language:

Look for the flag icon in the window header

Click to switch between Turkish and English

The message content changes to the selected language

Language Detection
The system automatically selects the language based on the client's preferred locale setting. You can override this if needed.

Best Practices

Send links promptly

Send payment links shortly after the session.

Be consistent

Use the same tone and timing for all clients.

Keep records

All communications are logged in payment history.

Follow up appropriately

Send reminders at reasonable intervals.
