Customizing Message Templates

Learn how to personalize your client communication templates for WhatsApp and Email.

Overview

Message templates allow you to customize the content of messages sent to your clients. All templates come pre-configured and are ready to use immediately.

Tip
Access message templates from Settings → Message Templates.

Template Categories

Templates are organized by their purpose:

Payment Link

Message sent with payment link to client

Payment Reminder

Reminder for unpaid sessions

Payment Confirmation

Notification when payment is received

Receipt

Message sent with receipt/invoice

Session Reminder

Reminder for upcoming session

Meeting Link

Message with video call link

Each category has both WhatsApp and Email versions, plus tone variants (Standard and Friendly).

Language Selection

Templates are available in Turkish and English. Use the language tabs at the top to switch between languages:

Tip
The language selection here affects the template content you edit. When sending messages, the recipient's preferred language is selected automatically, but you can change it before sending.

Editing a Template

To customize a template:

Click "Edit"

Click the Edit button next to any template.

Modify the content

Edit the message text in the editor.

Insert dynamic fields

Use the toolbar to add client name, date, etc.

Preview your changes

See how it looks in WhatsApp or Email.

Save

Click Save to apply your changes.

Dynamic Fields

Dynamic fields are placeholders that get replaced with actual values when the message is sent:

Client Name
Client Date
Client Time
Therapist Date
Therapist Time
Amount
Payment Link
Meeting Link
Therapist Name

Click a field in the toolbar to insert it at your cursor position.

Why two different dates?
If your client is in a different timezone, the session date and time will appear differently for each of you. Use Client Date/Time to show the session in your client's local time, and Therapist Date/Time for your own records.

Live Preview

The editor shows a live preview of your message:

Shows message in WhatsApp-style bubble.

Email Preview

Shows message in Gmail-style email viewer.

Tip
Placeholders in the preview are replaced with sample data so you can see exactly how your message will look.

Testing Templates

You can test your template before saving:

Click "Test (Open in Browser)"

Opens the message in WhatsApp Web or Gmail.

Verify the message

Check formatting and content.

Tip
This sends you the message so you can see exactly what your clients will receive.

Resetting to Default

If you want to restore the original template:

Click "Reset to Original"

This reverts all changes to the default template.

Confirm the reset

Your changes will be permanently discarded.

Reset Warning
Resetting a template cannot be undone. Make sure you want to discard all your customizations before confirming.

Mindora opens messages in WhatsApp or Gmail instead of sending them automatically. This gives you:

Best Practices

Keep it personal

Use the client's name and relevant details.

Be clear

State the purpose clearly in the first line.

Include all info

Don't forget date, time, and payment amount when relevant.

Test first

Always preview or test templates before saving.
