Sending Meeting Links
Learn how to send video meeting links to your clients for online sessions.
Overview
Meeting links help you share video call information with clients for online therapy sessions. You can send links via WhatsApp or Email.
When to Send Meeting Links
Meeting links are for online sessions. Send them when:
Before the session
Send the link a day before or morning of the session.
Session reminder
Include the link when sending a session reminder.
Link changed
If you need to update the meeting URL
Where to Send Meeting Links From
You can send meeting links from three different places:
Home Page
From online sessions in Upcoming Sessions
Calendar
From any online session on the calendar
Sessions Page
Open an online session, then send from its detail page.
The meeting link option only appears for sessions marked as online/video.
Sending from Home Page
Quick access from your dashboard:
Go to Home
Open the Home page from the sidebar.
Find online session
Locate the online session in Upcoming Sessions.
Click the video icon
The meeting link icon on the session card
Configure and send
Enter your meeting URL and send.
Sending from Calendar
From your calendar view:
Open Calendar
Navigate to the Calendar page.
Click on the online session
Select the video session you want to share link for.
Click "Send Meeting Link"
Opens the meeting link window.
Send the link
Add your meeting URL and send.
Sending from Sessions Page
From the sessions list:
Go to Sessions
Open the Sessions page.
Find the online session
Locate or filter for online sessions.
Open the session
Open the online session to its detail page.
Send the meeting link
The Send Meeting Link option is on the session detail page.
Meeting Link Window
The meeting link window includes:
Meeting URL Field
The Google Meet link created via Google Calendar for the session appears here and is added to the message automatically — you don't need to paste a separate link.
Recipient Info
Shows the client name and session details, with the date and time in the client's timezone.
Delivery Channel
Opens WhatsApp Web with link in message.
Opens Gmail with link in message.
Message Tone
Standard
Professional message with link
Friendly
Warm, personal message with link
Supported Video Platforms
You can use any video conferencing platform:
Message Preview
The message automatically includes:
- Client's name
- Session date and time
- The meeting link
- Your name
Timezone Handling
For international clients:
- Time is shown in client's timezone.
- Your local time is also displayed for reference.
- Different timezones are clearly indicated.
Best Practices
Send early
Share the link at least a few hours before the session.
Double-check URL
Make sure the meeting link is correct before sending.
Test the link
Verify your video call setup works before the session.
Include instructions
Add any joining instructions if your platform requires them.
