Editing Client Profile

Learn how to update client information, edit emergency contacts, assign status labels, and all features of the profile tab.

Overview

The client profile contains essential information that may need to be updated throughout the clinical process. From the Profile tab, you can manage personal information, emergency contacts, and communication preferences.

How to Edit?

Open edit mode

Click the pencil (edit) icon in the top right corner of the client detail page.

Update the fields

Update the fields you want to change in the window that opens.

Save the changes

Click the "Save" button to apply the changes.

Demographic Information

The client's personal information is located at the top of the Profile tab:

Full Name

Client's full name (editable via pencil icon)

Email

Clickable (mailto) and copyable.

Phone

Clickable (call) and copyable.

Date of Birth

Age is automatically calculated and shown alongside.

Gender

Selection for clinical record purposes

Occupation

Client's occupation

Referral Source

How the client was referred (e.g., friend recommendation, internet search)

Turkish ID Number

An 11-digit identification number for Turkish citizens. Used for invoice creation with Parasut integration. Stored encrypted.

Address

Client's address information

Start Date

Date the client was added to the system (automatic)

Tip
You can copy information to the clipboard by clicking the copy icon next to the email and phone fields.

Emergency Contact

Emergency contact information is located at the bottom of the Profile tab. An info message appears if none has been added.

Tip
The emergency contact record includes name, relationship, and phone number. The phone number is clickable and copyable.

Status Labels

Status labels help you organize your workflow by providing an at-a-glance view of clinical process, risk level, and administrative status. You can assign multiple labels to each client.

Click the pencil icon next to the client's name on the detail page to open the label picker, where you can add or remove labels. Assigned labels appear as colored indicators next to the name.

You can filter the client list by status labels.

Risk & Warning
High RiskClients requiring immediate intervention or close monitoring (self-harm/harm to others risk, crisis situations)
Medium RiskClients with risk factors that require careful monitoring but are not urgent
Needs Follow-upClients requiring between-session communication, additional assessment, or check-in
Progress & Success
Making ProgressClients demonstrating observable progress toward therapeutic goals
Goals AchievedClients who have successfully completed all or most of their therapeutic goals
Actively EngagedClients who attend sessions regularly and actively participate in the therapy process
Strong Therapeutic AllianceClients who have established a strong working relationship with the therapist
Termination PhaseClients transitioning to a planned termination of the therapy process
Clinical Process
Assessment PhaseClients in the initial interview, history-taking, or clinical assessment process
Maintenance PhaseClients whose active treatment is complete and are followed with periodic monitoring sessions
On Hold (Client)Cases where therapy has been temporarily paused at the client's request
Supervision TopicClients that need to be discussed in case supervision meetings
Admin & Financial
Billing IssueClients with overdue payments, missing payments, or billing problems
WaitlistedClients who have not yet started active therapy and are waiting for an opening
Referral in ProcessClients being referred to another specialist or institution
Legal InvolvementClients with ongoing legal proceedings or requiring mandatory reporting
Tip
Using labels consistently makes prioritization and filtering much easier as your client list grows.

Communication Preferences

Separate communication preferences can be set for each client:

Language

Language of messages sent to the client (Turkish/English)

Timezone

Client's timezone

Tip
Communication preferences directly affect messages sent to the client. For template customization, see the Message Templates guide.

Read-Only Mode

Tip
Profiles of archived or deleted clients cannot be edited. The edit button is disabled and shows an explanation on hover.
