Creating a Client

Learn step by step how to create a new client record in Mindora, required and optional fields, emergency contact information, and language/timezone settings.

Overview

A client record is the starting point for all clinical processes in Mindora. Features like session scheduling, note-taking, goal setting, and payment tracking are all linked to a client record.

How to Create a Client?

Click the New Client button

Click the "New Client" button in the top right corner of the Clients page.

Fill in general information

Enter name, surname, and phone number in the form (required fields).

Add optional information

Optionally add emergency contact, email, and other fields.

Save the client

Click the "Create" button to complete the client record.

Required Fields

The following information is required to create a client:

Name

Client's first name

Surname

Client's last name

Phone

Phone number with country code

Tip
Phone number is required for sending messages like session reminders, payment links, and meeting links via WhatsApp. Email address is needed to send the same messages via the email channel. To customize templates for both channels, see the Message Templates guide.

Optional Fields

These fields are not required but enrich your clinical process:

Email

For sending reminders and payment links via email

Date of Birth

Age is automatically calculated and shown on the profile.

Gender

For clinical record purposes

Address

Client's address information

Language and Timezone

You can set a separate language and timezone for each client. These settings directly affect messages sent to the client (session reminders, payment links, receipts, etc.).

Preferred Language

Language of messages sent to the client. The recipient's preferred language is automatically selected when sending. Defaults to your app language.

Timezone

Date and time in messages are shown according to the client's timezone. Selecting the correct timezone for clients in different countries ensures accurate session time communication.

Tip
When sending a message, the client's language preference is automatically selected and the template is generated in that language. The timezone fills date/time variables (Client Date, Client Time) according to the client's local time. For details, see the Message Templates guide.

Emergency Contact

You can add emergency contact information for your client. This information is displayed on the Profile tab.

Contact Name

Name of the person to contact in case of emergency

Relation

Family, Friend, Colleague, etc.

Contact Phone

Phone number with country code
