Archiving and Deleting Clients
Learn step by step about archiving clients, undoing actions, moving to trash, the 30-day retention rule, and permanent deletion.
Overview
There are three stages of managing client records in Mindora: Archiving, Moving to Trash, and Permanent Deletion. Each stage offers a different level of reversibility.
Client Status Flow
The states a client record can go through:
Active
Clients with ongoing therapy. All features are available.
Archived
Inactive clients. Data is preserved but some sub-records are affected. Read-only mode.
Trash
Deleted clients. Permanently deleted after 30-day retention period.
Archiving a Client
Archiving is ideal for clients whose therapy has ended but whose data you want to keep.
Open the client card menu
On the Clients page, open the three-dot menu on the client's card and choose "Archive".
Read the warning
Read the warning in the confirmation dialog; all data will be preserved.
Confirm
Click "Archive" to confirm the action.
What Happens When Archived?
Client is moved to the Archived list.
Notes and past sessions are preserved as-is.
Profile becomes read-only — no editing, session scheduling, or note-taking.
A yellow warning banner is shown on the detail page.
Active goals are automatically archived.
Future scheduled sessions are automatically cancelled.
Unarchiving
You can reactivate an archived client.
Open the Archived tab
On the Clients page, switch to the "Archived" tab and locate the client.
Click Unarchive
Open the three-dot menu on the client's card and choose "Unarchive".
Client is reactivated
The client returns to the Active list and all features become available again.
Moving to Trash
You can move a client to trash when you want to delete them completely. This action is reversible.
Open the client card menu
On the Clients page, open the three-dot menu on the client's card and choose "Delete".
Read the warning
Read the 30-day retention period in the confirmation dialog.
Confirm
Click "Move to Trash" to confirm the action.
Effects on Data
When a client is moved to trash:
Future scheduled sessions are automatically cancelled.
Goals are automatically moved to trash and permanently deleted after 30 days.
Notes are automatically moved to trash and permanently deleted after 30 days.
Past session data is preserved (for 30 days).
Archive vs Delete Difference
Archiving and deleting behave differently for goals and notes:
Archiving
Goals are archived, future sessions are cancelled. Notes are not affected.
Deleting
Goals and notes are moved to trash, future sessions are cancelled. All are permanently deleted after 30 days.
30-Day Retention Rule
Clients in the trash are kept for 30 days. After this period, they are automatically permanently deleted by the system.
Restoring from Trash
You can restore a client from the trash within 30 days.
Open the Trash tab
On the Clients page, switch to the "Trash" tab and locate the client.
Click Restore
Open the three-dot menu on the client's card and choose "Restore".
Client is reactivated
The client returns to active status.
Permanent Deletion
You can permanently delete clients from the trash. This action cannot be undone.
Open the Trash tab
On the Clients page, switch to the "Trash" tab and locate the client.
Click Delete Permanently
Open the three-dot menu on the client's card and choose "Delete Permanently".
Read the warning
Read the warning carefully; this action cannot be undone.
Confirm
Confirm to permanently delete all data.
Permanent Deletion Scope
Permanent deletion cannot be undone. The following data is deleted:
All sessions and session records
All clinical notes and note connections
All goals and goal connections
All breakthrough records
