Frequently asked questions about message templates, message types, tone and language, and WhatsApp and email setup.
Overview
Mindora brings client communication together in six types, each with ready-made templates:
- Payment Link: a link to make the payment.
- Payment Reminder: a reminder for unpaid sessions.
- Payment Confirmation: thanks and confirmation after payment is received.
- Receipt: delivering the issued receipt.
- Session Reminder: a reminder for an upcoming session.
- Meeting Link: a video meeting link for online sessions.
Each message can be sent via WhatsApp or email, in a Standard or Friendly tone; the text comes prefilled and you can edit it before sending.
Mindora never sends any message on your behalf in the background. When you send a message, Mindora only opens WhatsApp or email with the recipient details and text prefilled; you decide to send.
After sending, you respond with a Yes, I Sent / No, I Didn't confirmation; your answer is logged to the relevant record (payment history, session, etc.). This keeps communication in your voice and under your control, with no messages going out without your knowledge.
To open messages via WhatsApp Web or email, you need to set up the relevant service once (see the WhatsApp and Email setup sections below).
Every send and action (what, when, which channel, by whom) is logged and can be read in four places:
- Session detail page → Messages tab: all communication messages for that session (session reminder, meeting link, payment link, payment reminder, payment confirmation, receipt) appear here.
- Session detail page → payment history: only payment-related events (payment link, payment reminder, e-SMM/receipt send, status changes) are listed. These items also appear in the Messages tab, so this view lets you read the payment history and the communication together at a glance.
- Payments page → Manage Payment window → Payment History: works exactly the same as the payment history on the session detail page.
- Payments page → History: shows the payment transaction history of all clients in one list; you can filter it with All Events (for example Link Sent, Reminder Sent, Confirmation Sent, Receipt Actions, Status Change, or the system events Payment Completed, Payment Failed, Link Expired).
Message Templates
You manage all templates from Settings → Message Templates (Ayarlar → Mesaj Şablonları). Templates come ready to use; open any of them with Edit and adjust the text to your own voice. A live preview on the right side of the edit screen instantly shows the message with its variables filled in using sample values as you type.
- Live preview (right panel): your changes appear in the preview as you type, so you see the final message before saving.
- Test (Open in Browser): preview how the template actually looks in WhatsApp or email.
- Save: keep your changes.
- Reset to Original: revert a template to its default.
Each message type has both a WhatsApp and an email version; your edits apply to all future messages of that type.
You can add variables that fill in automatically at send time; for example Client Name, Amount, Payment Link, Meeting Link, and Therapist Name.
Date and time variables are offered from two angles: Client Date/Time (in the client's timezone) and Therapist Date/Time (in your timezone). This way clients in a different timezone see the correct time.
The Standard tone is more professional and brief; the Friendly tone is warmer and more personal. You can choose the tone for each send.
The message language is set automatically based on the client's language (Turkish or English); you can override it manually with the language option in the send window.
Message Types
On the Payments page, open the Manage Payment window for the relevant session; under Payment Link Management, use Create Link to create and send the payment link. The link runs through your own connected payment provider account (iyzico, PayTR, or Stripe), and the payment reaches you directly.

For an unpaid session, you can send a gentle payment reminder from two places: the Remind Again button in the Manage Payment window, or the Remind option in the row's Actions (three-dot) menu on the Payments page. Smart reminders also show you a card for unpaid sessions that exceed the day threshold; you still send the message yourself.
After payment is received, you can send the client a thank-you and confirmation message with Send Confirmation in the relevant session's Manage Payment window. This step is optional; since some providers confirm payment automatically, some therapists skip the confirmation message.
You manage receipts from the Receipt Management section of the relevant session's Manage Payment window; deliver an issued or uploaded receipt via WhatsApp or email with Send Receipt. For the details of issuing receipts, e-SMM, and the Paraşüt flow, see the Accounting & Receipts help section.
You can send a session reminder from three places: the Upcoming Sessions section on the Home page, the Calendar, and the relevant session's session detail page. Home and the Calendar let you send directly, and you can also open a session and send from its detail page.
The message includes the session date, time, and your name, and for online sessions you can also add the meeting link. The time is highlighted in the client's timezone. As a best practice, sending it 24-48 hours before the session is recommended.
For online sessions, instead of a separate session reminder you can send the meeting link directly; since that message includes the date and time, it also serves as a reminder.
The meeting link only appears for sessions marked as online (video). You can send it from three places: the Upcoming Sessions section on the Home page, the Calendar, or the relevant session's session detail page. Open Send Meeting Link, paste the link into the Meeting URL field, and send.
Links from Zoom, Google Meet, Microsoft Teams, Whereby, and any other platform are supported; Mindora does not generate links, you paste the existing one. The message includes the client's name, the session date/time, the meeting link, and your name.
Because the meeting link message also includes the session date and time, for online sessions you can send just the meeting link instead of a separate session reminder; this way the client both receives the link and is reminded of the session.
WhatsApp Setup
Either of two options is enough:
- Option 1 — WhatsApp Web: keep web.whatsapp.com open in a tab and log in by scanning the QR code with your phone.
- Option 2 — WhatsApp Desktop: install the desktop app, log in, and optionally set it as the default.
From your browser settings you can allow WhatsApp links to open directly (Always open in Chrome, Remember my choice in Firefox). On a mobile device, the link opens the WhatsApp app directly.
For the message to open prefilled to the right person, the client's phone number must be saved with its country code (for example +90 for Turkey, +1 for the US). Without the country code, the WhatsApp link cannot recognize the number.
Email Setup
On your first send, you choose your preferred email service and the choice is saved automatically. You can change it later from the Email Service section under Settings → Message Templates.
- Gmail, Outlook.com, Yahoo Mail: require no setup; they open in a new tab with the recipient, subject, and text prefilled, you just need to be logged into that service in your browser.
- Desktop app (Mail): requires a default email app set on your operating system (Mail → Settings on macOS, Apps → Default apps on Windows).
