Overdue Payments

Learn what makes a payment overdue and how to effectively manage payment collection.

What is Overdue?

A payment is considered "overdue" when the session date has passed and the payment hasn't been received. This is a calculated label, not a status - it helps you identify sessions that need attention.

Important: "Overdue" is not a payment status like "Paid" or "Unpaid." It's a label that appears alongside the actual status to highlight urgency.

Overdue Indicator

In the payments table, overdue sessions are marked with an orange exclamation icon (!) next to the payment status badge. Hovering over this icon shows "Overdue" as a tooltip.

Finding Overdue Payments

There are several ways to quickly find and focus on overdue payments:

Method 1: Overdue Summary Card

The left panel of the Payments page shows an "Overdue Payments" summary card displaying:

Total overdue amount

Number of overdue sessions

Top overdue clients (clickable avatars)

Tip
Click on a client avatar to instantly filter the table to show only that client's sessions.

Method 2: Overdue Filter

Use the quick date filter to show only overdue sessions:

Click the filter icon to expand the filter panel.

In the Date section, click the "Overdue" chip.

The table now shows only overdue sessions.

Tip
The Overdue filter is only available in the All, Unpaid, and Link Sent tabs (not in the Paid tab since paid sessions can't be overdue).

Method 3: Sort by Date

Sort the table by date in ascending order to see the oldest (most overdue) sessions first. Click the Date column header to sort.

Managing Overdue Payments

Once you've identified overdue payments, here are common actions to take:

Send a Reminder

The quickest way to settle an overdue payment is to send the client a friendly reminder over WhatsApp or Email. On the Payments page, find the record in the payments table; you can send the reminder in two ways:

  • Pick "Remind" directly from the row's action menu (the three-dot menu).
  • Or click "Manage Payment" and use the "Remind" button in the payment detail window that opens.
Tip
The button changes to "Remind Again" if a reminder was already sent.

Create Payment Link

If no payment link exists, create one to make it easy for the client to pay:

Open Manage Payment

Open the "Manage Payment" window for the overdue record.

Create the link

In the detail window, open the Payment Link section and click "Create Link". The link is generated automatically for the current session fee.

Send it to the client

From the same window, share the link via WhatsApp or Email; the client reaches a secure payment page with a single tap.

Bulk Actions

For multiple overdue sessions from the same client:

Select the sessions

In the payments table, tick the checkboxes of the overdue sessions that belong to the same client.

Create and send one link

Click the "Create and Send Link" button that appears after selection; all selected sessions are merged into one payment link the client can settle in a single payment.

Tip
Bulk links can only be created when all selected sessions belong to the same client.

Mark as Paid

If the client has already paid via cash or bank transfer:

Open the payment details

When the client has paid by cash or bank transfer, open the "Manage Payment" window for that record.

Mark it as paid

In the window, click "Mark as Paid" to record the payment manually, outside of the payment link flow.

The overdue label clears

The session switches to paid status and automatically drops out of the overdue list in the payments table.

Best Practices

Check overdue payments regularly

Make it a habit to review the Overdue Summary Card at least weekly.

Act on oldest debts first

Sort by date ascending to prioritize the longest overdue payments.

Use bulk links for multiple sessions

When a client has multiple unpaid sessions, send one link for all.

Follow up on sent links

If a link was sent but not paid, use the Remind feature to follow up.
