Frequently asked questions about creating tasks, categories, statuses and priorities, the task list and filtering, editing, and the task calendar.
Task Management
The Tasks module lets you track work outside your appointments in one place. You complete things like writing reports, preparing case formulations, or following up with clients without forgetting anything.
Tasks fall into two categories:
- Clinical: tasks linked to a client, with an optional session you can attach.
- Personal: general tasks not tied to a client.
Each task can have one of three statuses: To Do, In Progress, and Completed. New tasks start as To Do by default.
There are three priority levels: Low, Medium, and High. New tasks are created at Medium by default.
Click the New Task button in the top-right corner of the tasks page, fill in the form, and click Save. The form fields are:
- Title: a short name for the task; this field is required.
- Description: write the details with the rich text editor; bold, italic, lists, and links are supported.
- Status: To Do, In Progress, or Completed.
- Priority: Low, Medium, or High.
- Category: Clinical or Personal. Choosing Clinical reveals fields for linking a client and session.
- Start and Due Date: when the due date passes, the task is marked as overdue.
If you switch the category to Personal, the client and session details are cleared automatically.
The tasks page shows all your tasks in a scrollable list, loading more automatically as you scroll down. Each row contains:
- A checkbox to instantly mark the task as completed.
- The title along with category, status, and priority badges.
- The due date: overdue tasks show the date in red with a warning icon.
- Edit and delete buttons.
Completed tasks show a check icon and their text appears in a muted tone.
To narrow your task list, you can use these filters:
- Status, Priority, and Category filters.
- Client filter, active only when the Clinical category is selected.
- Date Range filter, by due, created, or updated date.
- Quick filters: Today, This Week, Overdue, and All.
Text you type in the search box is matched against the task title, description, and linked client name, and results update instantly as you type. You can sort tasks by created date, due date, or priority.
By default the list shows only To Do and In Progress tasks; to see completed tasks, check the Completed option in the status filter.
To edit all fields of a task, click the pencil icon on its row. Click the checkbox in the list to instantly mark a task as Completed, or click it again on a completed task to return it to To Do.
To delete a task, click the trash icon; once you confirm the dialog, the task is permanently deleted.
Task Calendar
You can view your tasks on a calendar instead of a list. The toggle buttons at the top switch between weekly and monthly views. Each task appears as a colored bar spanning from its start date to its due date.
- The weekly view shows the 7 days of the week as columns, and multi-day tasks span across columns.
- The monthly view shows the full month as a grid, with up to 3 task rows per day cell by default; the rest are hidden behind a +N more indicator.
The color of each task bar reflects the task status, so you can see which stage each task is in at a glance.
Use the arrow buttons in the top bar to move to the previous or next week or month, and the Today button to return to the current date. The current day is highlighted on the calendar.
Click an empty cell to create a new task for that day; the date you click is filled in automatically.
In the monthly view, the expand button in the top-right opens focus mode. The top menu and sidebar are hidden and the calendar is shown full-screen. Press Escape or click the same button again to return to the normal view.
Yes. Hold a task bar with the mouse and drag it to a new date to change the task's start or due date. This works in both weekly and monthly views, and the calendar updates instantly with no page refresh needed.
If an error occurs, the move is reverted automatically and the task returns to its original date.
Unlike the list view, the calendar shows tasks of all statuses by default, so completed and cancelled tasks also appear. You can filter tasks by status, priority, category, and client, and search by task name. There is no date range filter in calendar mode; date navigation is handled by the arrow buttons.
Tasks without an assigned date do not appear in calendar views; use the list view to see and manage them.
