Managing Reminders
How to view, complete, snooze, and pause reminders on the Home page, and configure reminder rules.
Overview
This guide has two parts: the first covers managing reminders that appear on your Home page, and the second covers configuring reminder rules. To learn what reminders are and how they work, we recommend the Smart Reminders 101 guide first.
Managing Generated Reminders
Actions for reminders that appear in the Smart Overview section on the Home page.
Viewing Reminders
To see your reminders:
Go to the Home page
The Home page opens automatically when you log in.
Find the Smart Overview section
Click the Important or Follow Up tab in the Smart Overview section. Your reminders are listed under these tabs.
Important and Follow-up Tabs
Reminders are displayed in two tabs:
Reminders requiring urgent attention: crisis, hopelessness, dissociation, relapse, difficult session, therapeutic impasse, MSE alarm, and breakthrough.
Planning and routine monitoring reminders: milestone, goal progress, formulation, initial assessment, treatment plan, progress evaluation, MSE improvement, gap analysis, payment, burnout, and birthday.
Completing a Reminder
To mark a reminder as completed:
Open the menu
Click the three-dot (⋯) menu on the reminder card.
Select "Completed"
The reminder is marked as completed and removed from the list.
Snoozing a Reminder
To postpone a reminder for later:
Select "Snooze" from the menu
Click the three-dot (⋯) menu on the reminder card and select "Snooze".
Choose a duration
Pick a preset option or set a custom date and time.
Reminder is snoozed
The reminder will reappear as active after the specified time. You can undo the snooze within 12 seconds.
Pausing for a Client
To pause a reminder type for a specific client:
Select "Pause for this client"
Click the three-dot (⋯) menu on the reminder card and select "Pause for this client".
Client is paused
This reminder type will no longer trigger for this client. Other clients are not affected.
This option only appears on reminder cards that belong to a specific client.
Configuring Reminder Rules
Rule management on the Tools → Smart Reminders page.
Accessing the Rules Page
To manage reminder rules:
Open the Tools menu
Click the Tools dropdown in the top navigation bar.
Select Smart Reminders
Click Smart Reminders from the dropdown. The rules page opens.
Rule Categories
Rules are organized in three categories:
Therapeutic Core
Crisis plan, hopelessness, dissociation, relapse, difficult session, MSE alarm, breakthrough, therapeutic impasse, MSE improvement.
Clinical Support
Session milestone, goal progress, formulation, initial assessment, treatment plan, progress evaluation.
Practical Management
Gap analysis, payment reminder, burnout prevention, birthday.
Enabling / Disabling a Rule
To completely turn a reminder type on or off:
Find the rule
Locate the reminder rule on the Smart Reminders page.
Use the toggle switch
Turn the toggle off to disable or on to enable the rule.
Configuring a Rule
To edit a rule’s settings, click the gear icon to the right of the rule. The settings window contains rule-specific options:
Keywords
Add or remove trigger words for note-based rules.
Thresholds
Adjust numeric values such as session count, day count, or progress percentage.
Session Modes
Determine which session modes trigger difficult session and therapeutic impasse reminders.
MSE Findings
Determine which mental state findings are considered concerning for MSE alarm and improvement detection.
Note Types
Select which note types count as "completed" (formulation, treatment plan, etc.).
Reminder Text
Edit the text displayed on the reminder card (max 120 characters).
Click "Save" to apply your changes.
Preview
To see how a rule will generate reminders, click the eye icon to the right of the rule. A window opens showing how the reminder card will look on the Home page along with trigger details.
Auto-Complete and Validity Period
Each rule has two additional settings:
Auto-Complete
When enabled, reminders are automatically completed after the specified hours. Even if you forget to take action, the reminder closes itself.
Validity Period
Set an expiration date for rules you want to run temporarily. After the date passes, no new reminders are created, but the rule toggle remains visibly active and existing reminders are unaffected.
Excluded Clients
When you pause a client from the Home page, that client is added to the rule’s excluded clients list. You can manage this list from the rules page.
Find the rule
On the Smart Reminders page, find the relevant rule. Paused clients appear as tags below the rule.
Remove the tag
Click the X on a client’s tag to remove the pause. The rule will start generating reminders for that client again.
Tips
Check the Important tab first
Crisis and risk reminders appear here. Start your day by reviewing this tab.
Don't overuse snooze
Constantly snoozed reminders lose their impact. Complete them if possible or adjust the rule.
Use the "Go to Rule" shortcut
To quickly edit a rule, use the "Go to Rule" option from the reminder card menu.
Don't panic on misclicks
You can undo a completion within 12 seconds.
