Goal Progress Reminder

How the goal progress reminder works when a client's goal hasn't made enough progress within a set timeframe, evaluation conditions, and configuration options.

Overview

The goal progress reminder is triggered when a client's active goal hasn't made enough progress after a configured number of days since creation. It belongs to the Clinical Support category and appears in the Follow-up tab on the Home page.

Tip
This rule runs on a schedule — the system checks all your clients’ active goals during the daily scan. It does not trigger instantly when you create a goal or update its progress.

Why Does It Matter?

Treatment goals are the roadmap of the therapeutic process. However, failing to regularly evaluate a goal’s progress after it is set can cause therapy to stagnate. Goals showing low progress may signal that the approach needs to be reviewed, the goal redefined, or the client’s motivation explored.

In a busy practice, it’s difficult to track every goal for every client individually. This reminder automatically highlights goals that haven’t made sufficient progress within the configured timeframe, helping you identify potential treatment stalls early.

How It Works

During the daily scan, the system checks each client’s active goals and evaluates two conditions together: the goal’s age and its progress percentage.

Active goals are scanned

Each client’s active goals are listed. Completed, archived, or deleted goals are excluded.

Goal age is checked

The number of days since the goal was created is compared against the configured threshold (default: 30 days).

Progress percentage is checked

If the goal’s current progress is below the configured threshold (default: 30%), the client becomes a candidate.

Reminder is created

If all conditions are met and there is no active/snoozed reminder for the same goal, a reminder card is created in the Follow-up tab.

Tip
If an active or snoozed reminder already exists for the same goal, no new reminder is created. After you complete the existing reminder and 30 days pass, a new reminder can be created if conditions are still met.

Which Goals Are Evaluated?

The system only evaluates goals that meet certain conditions:

Goal must be active (completed or archived goals are excluded).
Goal creation date must exceed the configured day threshold.
Goal progress percentage must be below the configured threshold.
Client must be active (archived clients are excluded).
Tip
Goals with 0% progress are also evaluated. A goal that has never been updated will trigger a reminder once it exceeds the day threshold.

Recurring Behavior

Unlike the session milestone, the goal progress reminder can recur:

After a reminder is completed, a 30-day cooldown period begins.

Once the cooldown expires, a new reminder is created if the goal still meets the conditions.

If progress rises above the threshold (e.g. exceeds 30%), no new reminder is created.
Tip
This behavior ensures that low-progress goals are continuously monitored. If you complete a reminder without taking any action, you’ll receive another reminder after 30 days — the goal won’t be forgotten.

The reminder appears as a notification in the Follow-up tab; from the card, you can do the following with a single tap:

Settings

What each setting does and its default value are summarized below.

Day Threshold

Default: 30 days

How many days after goal creation to start evaluating. You can set a value between 7 and 90.

Progress Threshold

Default: 30%

Goals below this percentage will trigger a reminder. You can set a value between 5% and 80%.

Reminder Text

Edit the text displayed on the reminder card (max 120 characters).

Default text

When the reminder triggers you see the default text below, which you can edit however you like.

"The goal has been active for a while but progress is low. Consider reviewing the goal."

Tip
When you change threshold values, the change takes effect from the next daily scan. Existing reminders are not affected.

Frequently Asked Questions

When is this reminder triggered?
It is triggered during the scheduled daily scan. It does not fire instantly when you create a goal or update progress — conditions are evaluated at the next daily scan.
Can multiple reminders be created for the same goal?
Not at the same time. However, after you complete the existing reminder and 30 days pass, a new reminder can be created if the goal still meets the conditions.
What happens to the existing reminder if I update the goal’s progress?
The existing reminder is not automatically removed. You need to complete the reminder separately after updating progress. However, if progress rises above the threshold, no new reminder will be created in the next cycle.
Do completed or archived goals get reminders?
No. Only active goals are evaluated. Completing or archiving a goal removes it from evaluation under this rule.
Do archived clients get reminders?
No. Only active clients are evaluated. Archiving a client removes all their goals from evaluation under this rule.
Are goals with 0% progress evaluated?
Yes. 0% is considered below the threshold. A goal that has never been updated will trigger a reminder once it exceeds the day threshold.
What happens if I change the day threshold?
The new value takes effect from the next daily scan. For example, if you lower the threshold from 30 to 14 days, goals created 14+ days ago with low progress may generate new reminders.
What happens if I change the progress threshold?
The new value takes effect from the next daily scan. For example, if you raise the threshold from 30% to 50%, goals with 30–49% progress will also become eligible for reminders.
Can I pause this rule for a specific client?
Yes. Use the ⋯ menu on the reminder card and select "Pause for this client". All of that client’s goals will no longer be evaluated under this rule.
Can multiple reminders be created for a client with multiple goals?
Yes. Each goal is evaluated independently. If a client has three active goals and all three meet the conditions, a separate reminder is created for each.
If I change the reminder text, do existing reminders update?
No. Text changes only affect newly created reminders. Existing reminders keep the text from when they were created.
Can I completely disable this rule?
Yes. On the Tools → Smart Reminders page, use the toggle next to the rule to enable or disable it. When disabled, no new reminders are created; existing reminders are not affected.
Does a reminder trigger if progress is exactly at the threshold (e.g. exactly 30%)?
No. The system only creates reminders for goals strictly below the threshold. If progress is exactly 30% and the threshold is 30%, no reminder is triggered; 29% or lower is required.
What happens to the existing reminder if I delete the goal?
The existing reminder is not automatically removed and will continue to appear on your card. However, the "View Goal" action will no longer work since the goal has been deleted. You need to complete the reminder manually.
When does the 30-day cooldown period start?
The cooldown starts when you complete the reminder, not when the reminder is created. For example, if a reminder was created on January 1st and you completed it on January 10th, the earliest a new reminder can appear is February 9th (30 days after completion).
